We have vacancy for a results-oriented and self-motivated person for the role of FACILITY SUPERVISOR and invite applications from qualified persons. The role reports to the Chief HR & Admin Officer and is located at Tema.

Roles Defination & Accountabilities

  • Ensure that the facility is fully operational with all utilities functioning properly.
  • Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment.
  • Maintain ongoing communication with contractors, clients, and team.
  • Establish and administer policies and procedures for events.
  • Coordinate and manage activities and events with other departments and external clients.
  • Prepare and implement annual budget for building use and facility maintenance.
  • Update and maintain usage records and invoice clients accordingly.
  • Maintain accurate records of equipment functioning status and other systems in the building.
  • Develop schedule for regular evaluation of facilities.
  • Participate in development of policies and procedures affecting usage supplies and facilities.
  • Initiate interventions to solve problems in the facilities.
  • Inspect buildings’ structures to determine the need for repairs or renovations.
  • Control activities like parking space allocation, waste disposal, building security and grounds.
  • Allocate office space according to needs.
  • Handle insurance plans and service contracts.
  • Undertake other duties as assigned

Administrative Duties

  • Complete and maintain accurate, timely documentation and records as required by the Company.
  • Comply and ensure that discipline is maintained within the section
  • Provide support to team internally and externally, to ensure effectiveness in line with the needs of the Company.
  • Provide thorough maintenance work and ensure request is raised for all reported faults on the facility, completed and returned to the Chief HR & Admin officer for the needed action.

Management System Duties

  • Comply & operate in line with relevant legislation, Company policy and Company procedures.
  • Provide assistance in the identification of root causes of problems including those raised in initial review, risk assessments, 1st, 2nd & 3rd Party audits, incident reports and general operational problems and actively contributing to the implementation of corrective and preventive actions to prevent recurrence.
  • Keep & maintain the required standards of housekeeping.
  • Responsible and ensure that all records within the section are legible, properly identified and stored in a manner that protects them from damage and make them readily retrievable.

Qualification & Experience

  • HND or BSc in management, engineering or business studies from a recognized university or its equivalent.
  • Master’s degree in facilities management shall be an added advantage.
  • Generally, prefer 4 years of related supervisory experience with a proven track record.

Technical Competencies

  • Exceptional interpersonal and analytical skills required. Knowledge of Word, Excel and other IT packages good communication and interpersonal skills.
  • Analytical (Reporting and decision making).
  • Good leadership skills.

  • Knowledge of Facility Managements.
  • Excellent attention to details.
  • Good organizational skills and the abilities to manage time and prioritize work.

  • Good organizational skills and the ability to manage time and prioritize work.
  • Great people skills are necessary to collaborate with management, office staff, customers, truck drivers, customs officers, and tenants.
  • Knowledge of general freight forwarding terms and standards.
  • Should be a leader and a team player.
  • Ability to identify problems and resolve them at early stages.
  • Ability to see the implications for the bigger picture.
  • Ability to plan the work flow to meet delivery time lines and targets.
  • Ability to work under pressure with no or minimal supervision.
  • Should be able to take the right decisions in the best interest of the company.
